Job Description

The Sales Support staff is responsible for supporting the Sales team in processing orders, preparing sales documents, coordinating with internal departments, and ensuring customer satisfaction. This role requires attention to detail, strong communication skills, and the ability to manage multiple tasks efficiently.

Responsibilities and Qualifications

• Receive, review, and process customer orders from clients/Sales team in the system.
• Prepare quotations, contracts, contract appendices, and other sales documents as requested by the Sales Manager.
• Monitor order progress (production – delivery – invoicing – payment) and provide timely updates to the Sales Team/customers.
• Coordinate with internal departments (Accounting, Warehouse, Production, Procurement) to ensure on-time delivery.
• Update and manage the customer database, customer lists, and transaction history in the system.
• Prepare periodic reports on revenue, inventory, receivables, and order status.
• Follow up and remind customers of outstanding payments based on the list provided by Sales/Accounting.
• Handle basic customer inquiries (product information, delivery schedules, documentation support).
• Support in handling customer complaints and escalate issues to the Sales Manager when necessary.
• Prepare sales materials, catalogues, and product samples for customers and the Sales Team.
• Support customer care programs, exhibitions, and customer meetings when required.
• Perform other tasks as assigned by the Sales Manager.
• Ensure compliance with all applicable standards (ISO, FSSC, GRS, SMETA, HALAL, etc.) to support a safe workplace and sustainable operations.

Job Requirements

• University degree: Business Administration or related.
• Fluent in English (speaking and writing).
• Excellent MS Office skills: Word, Excel, PowerPoint.
• At least 1 year experience in a similar position, preference for candidates with relevant experience.
• Excellent communication, negotiation, and presentation skills.
